Booking and prices

How do I book a collection?

Use our online booking page. Choose your practice type, pick a ready-made bundle or your own bins, choose a date and pay. It takes about 2 minutes and there's no account or contract to set up.

How much does a collection cost?

You pay a fixed £119 collection visit fee plus a price for each container. All prices exclude VAT, and you see your exact total before you pay.

Item Price (ex VAT)
Collection visit, incl. consignment note £119.00 per booking
Yellow-lid sharps bin 2L / 5L / 13L / 24L £8.14 / £9.19 / £15.28 / £27.67
Purple-lid sharps bin 3L / 5L / 13L / 24L £11.00 / £11.50 / £19.22 / £32.30
Orange clinical waste bags (pack of up to 4) £18.48
Tiger offensive waste bags (pack of up to 4) £14.64
Yellow incineration box 50L £23.36
Blue-lid medicines bin 7L £12.68
Dental amalgam pot £41.38
Why is there a collection visit fee?

It covers the licensed vehicle and driver, and your hazardous waste consignment note. You pay it once per booking however many containers you have, so it's best value to collect everything in one visit.

Are there any setup fees or contracts?

No. There are no setup fees, account fees or minimum terms. Each booking is a one-off collection.

How far ahead do I need to book?

At least 10 working days. This gives us time to run your pre-acceptance check and route the collection. We confirm your date by email within 2 working days of booking.

Which areas do you cover?

We arrange collections across the UK through our network of licensed waste carriers.

Can I have regular, scheduled collections?

Yes. If you need monthly or quarterly collections, ask us about a scheduled service or call 020 8058 3531. Until then, you can book each collection online.

How do I pay?

By card at our secure checkout. Prices exclude VAT, which is added at 20%. Your order confirmation is emailed to you straight away.

Which bin do I need?

What do the clinical waste colours mean?
Container What goes in it
Yellow-lid sharps bin Used needles, syringes and other sharps, including those from dermal fillers, vaccines and blood tests
Purple-lid sharps bin Sharps and vials contaminated with cytotoxic or cytostatic medicines
Orange bag Infectious waste such as swabs and dressings with blood or body fluids
Yellow incineration box Infectious waste that is also contaminated with medicines or chemicals
Tiger bag Non-infectious offensive waste such as gloves, aprons and couch roll
Blue-lid bin Out-of-date or unused medicines that aren't cytotoxic
Amalgam pot Dental amalgam and extracted teeth with amalgam fillings

For more detail, read our clinical waste colour code guide.

I run an aesthetics clinic. What do I need?

Most aesthetics clinics need two bins:

  • a purple-lid sharps bin for botulinum toxin products such as Botox, Azzalure and Bocouture, including vials and syringes
  • a yellow-lid sharps bin for dermal filler syringes, needles and PDO thread cannulas

Add tiger bags for gloves and couch roll, and orange bags if you have anything with blood on it. See our aesthetic clinic waste guide.

I'm still not sure which bins to choose.

Use the "Not sure? Answer 4 quick questions" option on the booking page and we'll suggest the right containers. You can also call us on 020 8058 3531.

What can't you collect?

Our online booking covers the waste types listed above. For anything else, such as anatomical waste, chemicals, radioactive waste or large volumes, call us first so we can check it can be accepted.

Preparing your waste

How should I prepare my sharps bins?
  • Don't fill past the fill line marked on the bin
  • Lock the lid fully closed before collection
  • Make sure the label shows your practice name, address and the date it was closed
  • Never push waste down or try to empty a bin
How should I prepare bags?

Fill bags no more than three-quarters full and tie them securely at the neck. Never use tape or staples, and don't overfill. Each pack covers up to 4 bags.

Where should I store waste before collection?

Keep it in a secure area that patients and the public can't reach, away from heat, and somewhere the driver can get to easily on the day. Add any access details, such as a buzzer number, when you book.

Do you supply new bins and bags?

Yes, from our online shop: sharps bins, clinical waste bags and clinical waste pedal bins. These ship separately from your collection.

On the collection day

What time will the driver arrive?

You choose morning (8am to 12pm), afternoon (12pm to 5pm) or any time when you book. We confirm your date by email, and the driver may call the phone number you gave for the day.

Do I need to be there?

Someone needs to be available to give the driver access to the waste and to sign the consignment note.

What if the driver can't access the waste?

Call us on 020 8058 3531 as soon as you can and we'll arrange the next available collection.

Paperwork and compliance

Are you licensed?

Yes. Vena Cava Ltd is registered with the Environment Agency as an upper-tier waste broker, registration number CBDU669967. Your waste is collected by licensed waste carriers and taken to permitted treatment facilities.

What paperwork will I get?

Hazardous waste such as sharps and infectious waste travels with a consignment note, which is included in your visit fee. Non-hazardous waste such as tiger bags is covered by a waste transfer note. Your copies are emailed to you after collection.

How long do I need to keep my paperwork?

Keep hazardous waste consignment notes for at least 3 years and waste transfer notes for at least 2 years. Inspectors such as the CQC or Environment Agency may ask to see them. Read our waste transfer notes guide.

What is a pre-acceptance check?

Before every collection we check that the waste you've described can be legally accepted and treated. If it can't, we cancel your booking and refund you in full.

Changes, cancellations and refunds

Can I change my booking?

Yes. Call us on 020 8058 3531 as early as possible and we'll update your date or containers.

Can I cancel?

Call us as soon as possible on 020 8058 3531. If we haven't yet confirmed your collection with the carrier, we'll refund you in full.

What if my waste can't be accepted?

If the pre-acceptance check shows we can't take your waste, we cancel the booking and refund you in full.
